Position Title: Operations Assistant
Status: Regular, Full Time
Location: Beijing, China
Classification: Exempt

Job Summary: The Operations Assistant undertakes a variety of day-to-day responsibilities and duties that are in support of four areas of Beijing office: Finance, Human Resources, IT, and Office Operations, with a focus on Finance and Office Operations. The Operations Assistant will work closely with the Operations Manager to guarantee the smooth running of the office.
Reporting and relationships: The Operations Assistant will report to the Operations Manager
Availability: The Operations Assistant will be expected to work a standard workweek of 40 hours plus additional hours as necessary to get the job done. The position requires no travel.
Essential Job Functions:
Coordinate and support the Operations Manager in financial operations, personnel operations, and facility operations
Answer incoming telephone calls and receive visitors
Arrange business travel logistics, help in visa application as well as provide assistance in office events/visits/meetings
Provide clerical support in finance management. Assist the Operations Manager in project/annual budgeting and finance reporting and documentation. Deal with reimbursement claims, help in compiling the expenses report and apply for payment request, etc.
Assist the Operations Manager on liaising with the accounting partner to deal with taxation and government reporting issues as well as liaising with the HR partner to deal with office personnel issues.
Maintain office library and document filing system
Manage cleaning worker, maintaining an inviting office area and routine supplies management
Oversee office facilities, report any IT breakdowns/malfunctions instantly and coordinate in resolving problems
Monitoring info email account/Evernote account and distribute messages to appropriate staff
Provide secretarial tasks for the Country Director
Deal with ad-hoc tasks as needed
Required Knowledge, Skills, and Abilities:
Good command of spoken and written English a must
Good accounting/finance knowledge will be highly regarded
High proficiency level with Microsoft Office Suite. Familiar with office equipment and network a plus
Take initiative to manage daily tasks is critical
Strong team player with good interpersonal skills and good work ethics
Flexible with positive attitude and able to work independently
Education and Experience:
College graduate majoring in Finance/Secretary/English/Business or related disciplines
At least 1 year working experience of clerical/HR/admin related functions.Outstanding fresh graduates are acceptable
Experience working in fast-paced, deadline-driven environment
Work Environment and Working Conditions for Travelers to Developing Countries: While performing the duties of this job, the employee may be exposed to working conditions and hazards which are prevalent for the location and/or country of assignment. The noise level in the work environment is usually moderate. Work is primarily performed indoors with some potential for exposure to safety and health hazards related to electronics work.
